Raptor Visitor Management Kiosk - How to use


Raptor Visitor Management is a modern sign-in system we use to manage visitors in our district sites. This system allows us to view live information on visitors such as previous and current visitors, the reason for visiting, who they are visiting, the location of the visit, and the time they are on our sites. It also instantly performs a security screen on all visitors (Sex offenders, custody issues, banned visitors). 


The process of signing in a visitor consists of scanning their government-issued ID, filling in visitor information, and taking a picture to be used in a provisional badge they will need to place on themselves while on-site. The visitor will be able to do this entire process themselves in our self-serve system (Kiosk). If the visitor does not pass the security screen, a staff member will follow the designated school policies on how to proceed when a visitor does not pass the security screen.


This guide below will demonstrate how to use the Raptor Visitor Management system for VUSD staff members. 



Every morning, a designated staff member will log in to the Raptor Kiosk Computer, launch the Raptor software, and enter Kiosk mode. Shut down the computer at the end of the day.


Computer Sign-In

  1. The computer should auto-login; please restart if it does not. 
  2. The Raptor login page will automatically load the website apps.raptortech.com
  3. Sign in using your own  .us account ([email protected]). This will take you to a Google Sign-in page.
  4. You should now be in the Raptor Dashboard


Launching Kiosk Mode

Login to Raptor

Ensure you have the correct site selected

Select Kiosk Mode on the left-hand side

Click "Launch" under the "All profiles" section

Sign-in Visitors using Kiosk

  1. Launch Kiosk Mode
  2. Scan the Drivers License Barcode located on the back
    1. If no ID is available, input information manually by clicking "I don't have an ID"
  3. Follow the prompts on the screen
    1. Visitor or Contractor
    2. Take a picture (allow camera if prompted)
    3. Select destination
  4. Print badge


Sign-Out Visitors

Scan visitor badge, this will automatically sign out the visitor


View Visitors

Modules > Visitors

In the Visitors Module, you will have access to different tabs to view Visitors. 

  • All Visitors - all previous and current visitors
  • Currently Signed in - Current visitors on-site 
  • Reports - Generate and export custom visitor reports


Exit Kiosk

There are different methods to exit Kiosk Mode. All will make you sign in again. Exit full screen first by pressing F11.

  • Close the browser and launch Raptor
  • Exit Kiosk mode using the Exit Kiosk link located under the barcode scan prompt. Code to exit "ExitKiosk". 
  • Delete the URL and go to apps.raptortech.com


Troubleshooting

  • For printer/scanner issues, please unplug and re-connect equipment and restart the computer. If this does not fix the issue, contact Tech Services (create a ticket here: https://servicetickets.vusd.org).
  • Raptor Issues = Sign in again, and ensure you are using your .us account ([email protected]). If this does not fix the issue, contact Tech Services (create a ticket here: https://servicetickets.vusd.org).
    • Ex: Not displaying correct school, no Kiosk mode available, etc

FAQ

What if a visitor forgets to sign out?

All visitors will automatically be signed out at the end of the day


What if a visitor does not have a government-issued ID?
Fill in all information manually by clicking "I don't have ID". 


The visitor input incorrect information. How can I fix it?

On your own computer, open the Raptor Dashboard, go to Modules > Visitors, and adjust visitor information as needed. Here you can delete the visit, sign them out, or change their location. 


Where do I get replacement labels?

Sites will order replacement labels when needed and can order them through the Raptor app. You can log into the Raptor app from your desktop:  https://apps.raptortech.com/ > Choose Support > Choose “Go To Store” under the “Need Supplies?” heading. Once on the store page click on Products > 550 Printer Badges. (The 550 badges are compatible with both the 550 and 450 model printers)
